ByteBooks is a Point-of-Sale and business management system. To issue bills, track dues and run your customer portal, we store the following information:

• Customer identity — name, 10-digit mobile number, email, GSTIN and billing/shipping address.
• Transaction data — invoices, purchase history, payment history, credit & advance balances generated from POS billing.
• Item — items you sell, quantities, prices, batch/expiry details where maintained.
• Portal access data — customer portal login activity (mobile + password) for viewing invoices, ledger and payments.
• Staff data — usernames, roles and permissions of shop staff who use the ERP.
• Technical data — IP address and device information used for security, audit logging and error diagnosis.

We use the collected information only to operate and improve the business services we provide to you:

• Generating and delivering invoices, receipts and credit notes.
• Maintaining customer accounts, outstanding balances and credit limits.
• Running the customer portal so you can view your purchases, payments and ledger.
• Preparing statutory reports (GST, tax filings) as required by law.
• Auditing staff activity and preventing fraud or misuse.

Your data is shared only where necessary to provide the services:

• Bill links via WhatsApp / SMS — when you purchase, a secure bill link may be sent to your registered mobile number. The link opens only your invoice and is protected.
• Customer portal — your invoice and ledger details are visible to you after logging in with your mobile number.
• Government / tax authorities — invoice and GST data may be shared as required for statutory filings and legal compliance.
• Service providers — hosting, SMS/WhatsApp and PDF generation services we use to deliver bills. These providers receive only the minimum data needed and are bound to protect it.

• All data is stored on secured servers with restricted staff access.
• Passwords are stored in encrypted (hashed) form — never in plain text.
• Financial records are protected with role-based access control (only authorised staff see sensitive reports).
• We regularly back up your data to prevent loss.

While we take reasonable technical and organisational measures, no internet transmission is 100% secure. We continuously review our controls and encourage you to keep your portal password private.

We keep financial records for as long as they are needed to comply with Indian tax and accounting laws:

• Invoices, ledger and GST records are retained for at least 8 years as required under the Income Tax Act, 1961.
• Customer account data is kept while the business relationship is active and for a reasonable period afterwards.
• You may request deletion of non-statutory data, subject to legal retention requirements.

This platform uses essential cookies and session storage to keep you logged in and remember your preferences. We may use basic usage analytics to understand how the system is used and improve performance. No cookies are used for cross-site advertising.

• Access — you can view your own invoices, payments and ledger anytime via the customer portal.
• Correction — request corrections to your name, mobile, email or address.
• Deletion — request removal of non-statutory personal data.
• Withdraw consent — opt out of promotional messages anytime by contacting us.

This platform is intended for business use and is not directed at children under 18. We do not knowingly collect personal information from children. If you believe a minor's data has been provided, please contact us and we will remove it.

We may update this Privacy Policy from time to time. The latest version with its "last updated" date is always available on this page. Significant changes will be highlighted in the customer portal.
